Whistler Paintball Adventures – AI Phone System Knowledge and Training Document

Operating Season
Whistler Paintball is a seasonal outdoor paintball park that operates each year from early June to the end of September. The opening date for 2026 is May 9th, and we plan to close at the end of August or September, depending on weather conditions.
We are closed during the winter months due to snow and access limitations. The next expected reopening will be in May 2027.
Location
Our paintball site is located at:
9600 Wedge Creek Forest Service Road, Whistler, BC, V8E 0A0
We are about a 15-minute drive north of Whistler Village, situated at the base of Wedge Mountain. The road to our site is unpaved and can be quite bumpy, so we recommend driving cautiously and avoiding very low-clearance vehicles if possible.

Fields
We currently offer two themed playing fields:
-
The Military Field
This is a flat, open terrain that features a number of newly built bunkers, including a realistic helicopter prop. The area includes a netted spectator section with shaded seating where friends and family can watch safely.
-
The Forest Field
This field is set in a natural forest environment, providing plenty of tree cover and the option to blend in using camouflage rental coveralls. It offers great shade during the summer months and some rain protection. There’s also a netted area nearby for spectators to safely view the game.
Safety
Safety is our top priority at Whistler Paintball. Since opening in 1989, we’ve maintained a 100% accident-free record.
All equipment is cleaned and sanitized between uses. Every group receives a thorough safety briefing before play begins, and our games are overseen by first-aid-certified referees who monitor player behavior, reinforce rules, and ensure a fun and safe environment for all.

We accept all major credit cards, debit, and cash at the site.

-
Booking Requests via Phone
The AI phone agent cannot take bookings directly, but can collect details for the team to follow up.
If the customer would like to request a booking, the agent should:
-
Ask what date they’re looking to play
-
Ask which session time they prefer: 10:00 AM or 1:00 PM (custom times may be available by request)
-
Ask how many players will be attending, and whether they are all adults
-
Ask whether they’re looking for a public session or a private session
-
Note: Private sessions require a minimum of 10 players. If the caller had under 10 participants, then explain this and say that only the regular session is available for their group size, than ask is that okay with you?
-
-
Ask for the nature for the event (birthday, staff party, bachelor party, etc.)
-
Collect the customer’s email
-
Let them know that our team will get back to them as soon as possible to confirm availability and details
How Far in Advance Should I Book?
We recommend booking at least 1–2 weeks in advance, especially for weekend sessions, holidays, or large groups. Weekday sessions may have more availability. Booking early helps ensure you get your preferred date and time.
Can I Bring My Own Paintballs?
No — for safety and insurance reasons, all paintballs must be purchased from Whistler Paintball. Outside paint is strictly not allowed.
Do You Sell Gift Cards or Gift Certificates?
Yes! We offer digital gift cards and gift certificates that can be used toward admission, paintballs, and rentals. These make a great gift for birthdays, holidays, or special occasions. If you’d like to purchase one, please leave your name and email, and our team will follow up to complete the purchase.
Can I Extend My Gift Certificate?
Yes, we understand that plans can change and we are happy to accommodate extensions when possible. Please provide the gift certificate number, your name, and email address, and a manager will follow up with you shortly to arrange the extension.
Can You Donate a Gift Certificate to Our Event or Cause?
Whistler Paintball is happy to support good causes through donations when possible. Our donated certificates are valid for up to 10 participants and valued at $580. If you’d like to request a donation, please provide your name, email, and the name of your organization, and a manager will follow up with you.
Late Arrivals / Missed Sessions
If a group is running late, they are still welcome to join the session when they arrive. However, the session start time cannot be delayed and the total session length may be shortened depending on how much playtime is left. We recommend arriving at least 10 minutes early to allow time for check-in and getting geared up.
If the group does not show up or cancels with less than 48 hours’ notice, the payment is non-refundable, and rescheduling is not guaranteed.
Spectators
Yes, spectators are welcome to watch as long as they remain in the designated netted spectator areas. There is no fee for spectators, but they must follow all safety instructions. Spectators cannot enter the playing fields at any time, and we recommend wearing closed-toe shoes and outdoor clothing.
Group Size / Maximum Capacity
We can accommodate both small and large groups. There is no minimum group size for public sessions — even just 1 or 2 players are welcome to join in with other groups. However, to book online, a group must have at least 6 participants. This is because 6 players are required to open a new session time for the day. If a group has fewer than 6 people, we’ll do our best to match them with an existing group so they can still participate. For private sessions, there must be at least 10 participants.
Our site can typically accommodate up to 40 participants per session, but larger events may be possible with advance notice.
Age Policy / Exceptions
The minimum age to play is 12 years old. This is a strict safety requirement and we are not able to make exceptions, even if a child is close to turning 12 or has previous experience.
Clothing Guidelines
We recommend wearing athletic, weather-appropriate clothing that you don’t mind getting dirty. Even though the paint is washable and non-toxic, the forest terrain can be rough and muddy.
Coveralls are also available for rental at the site for $5 per person, and are great for extra coverage and camouflage on the forest field.
Closed-toe shoes are mandatory — running shoes or hiking shoes are ideal. Sandals, Crocs, or open-toed footwear are not allowed.
Rain & Weather Policy
Paintball sessions run in rain or shine. Light rain does not affect gameplay and can even make it more exciting. We only cancel or delay sessions in cases of extreme weather, such as high winds, lightning, or wildfire smoke.
If Whistler Paintball cancels a session due to safety concerns, we will work with guests to reschedule or offer a refund. However, guests who cancel on their own due to rain will not be eligible for a refund unless they provide at least 48 hours’ notice.
Photos / GoPros / Media
At this time, Whistler Paintball does not provide photography or video services during gameplay. However, guests are welcome to bring their own action cameras such as GoPros as long as they are securely mounted to the mask or chest. Handheld cameras are not allowed during games due to safety concerns.
We plan to begin offering official photos or video packages soon. Once that service is available, full details will be added and shared with guests.
Birthday Parties & Decorations
Whistler Paintball is a popular spot for birthday parties! While we don’t offer a formal birthday package, we do welcome birthday bookings.
Guests are allowed to bring:
-
A birthday cake or small snacks
-
Balloons or decorations (must be cleaned up after)
Please let us know in advance if you're planning a celebration so we can do our best to help. There is no extra fee for a birthday booking.
Partial Group / No-Show Refunds
Refunds will not be made for participants who were already paid for but did not show up without providing at least 48 hours’ notice. For bookings that paid only a deposit and still have a remaining balance to be settled on the day, the group will be charged based on the actual number of participants who attend. However, we kindly ask that all groups be mindful when it comes to unexpected no-shows, as our team prepares equipment, staffing, and game setups based on the expected group size. If you are anticipating any last-minute changes or possible no-shows, please let us know as soon as possible so we can adjust accordingly.
To make changes to the group size, please contact us at least 48 hours in advance.
Accessibility / Terrain
Our site is located in a forested, natural setting with uneven ground, roots, gravel, and hills. There are no paved pathways, so it may be difficult for people with mobility challenges or wheelchairs to access the playing areas.
We currently do not offer accessibility accommodations, and we advise guests with mobility concerns to contact us in advance to discuss whether the site is suitable for their needs.
Food Options / Outside Food
We do not serve meals or snacks on-site, but guests are welcome to bring their own food. Picnic tables and shaded areas are available for use.
Please note:
-
All garbage and food waste must be packed out or thrown in bins
-
BBQs are not permitted due to common fire bans in Whistler
-
Alcohol is strictly prohibited
We also offer bottled water and Gatorade for purchase at the concession area.
Pets / Dogs
For safety reasons, dogs and other pets are not allowed on-site during active paintball hours. The loud sounds of the markers can be stressful for animals, and there is no safe containment area for them.
If a guest arrives with a dog, they may be asked to keep the pet in the vehicle or return another day without them.
Walk-ins
We do not accept walk-ins without a reservation. All sessions must be booked in advance through our website or by contacting us.
Same-day bookings may be available if there is space, but guests should always call ahead first to confirm availability.
Languages Spoken
Our staff primarily speak English, but we do our best to accommodate guests from all backgrounds. If a guest needs additional help understanding the rules or safety briefing, our staff will do everything possible to explain clearly and ensure they feel comfortable before playing.
How Gameplay Works
A typical paintball session includes:
-
A safety briefing
-
Getting geared up
-
Multiple short games using different fields and formats (like elimination, capture the flag, team vs team, etc.)
Games are fast-paced and usually last 5 to 10 minutes, with time in between for reloading paint, switching fields, or taking a break. Sessions run for up to 3 hours total, depending on how much paint is purchased and used.
If a Customer Asks "Do You Do..."
If a customer asks whether we do staff parties, birthday parties, bachelor or bachelorette parties, or just casual fun outings, the answer is always:
Yes! We absolutely do.
Whistler Paintball is a great venue for all kinds of group events. We welcome:
-
Staff parties
-
Team-building events
-
Bachelor and bachelorette parties
-
Birthday parties (for ages 12+)
-
Family outings
-
Just-for-fun games with friends
Let the customer know that discounts may be available for staff parties or larger groups. If they’re interested in organizing an event, collect their details and pass the message to the team to follow up with planning help.
Arrival Instructions / Check-in Process
Guests should aim to arrive 10 to 20 minutes before their scheduled session to allow time for parking, check-in, and gearing up. Upon arrival, guests should head to the main concession tent or staging area. All participants must have their waiver completed in advance or be prepared to fill it out digitally upon arrival. The group will then receive a safety orientation before the games begin.
Changing / Storage Areas
There are no formal changing rooms or lockers on-site, so we recommend arriving in the clothing you plan to play in. There are picnic tables and shaded areas to leave personal belongings, but guests do so at their own risk. We suggest leaving valuables at home or in your vehicle.
How Long Paintballs Last / Average Usage
The 100 paintballs included in admission typically last 1–2 short games. Most players will go through approximately 400–600 paintballs in total over the course of a session. We recommend purchasing paintballs in the largest quantity available — a case of 2000 — and splitting the cost and paint among everyone in the group. This is the most economical way to purchase paintballs. Many groups end up buying multiple cases of 2000 throughout the session as it is more cost-effective than buying smaller increments like 100 or 500 at a time. Buying in bulk also reduces interruptions during gameplay.
Refunds for Weather Cancellations
If Whistler Paintball cancels a session due to extreme weather conditions, such as heavy wildfire smoke or unsafe storms, guests will be contacted as soon as possible and offered the choice of a reschedule or full refund. Please note that refunds will not be provided if the customer chooses to cancel on their own, regardless of weather, unless at least 48 hours' notice is given. Whistler Paintball only cancels sessions when conditions pose a direct safety risk. The AI agent cannot process refunds but will ensure that any requests are passed along to the team.
What’s Included in Admission
All admission packages include everything needed to participate:
-
Paintball gun (marker)
-
Face mask
-
Unlimited compressed air refills
-
100 paintballs
-
Full safety supervision
Optional items like coveralls and extra paintballs are available at an additional cost.
Wildfire Smoke or Fire Risk
During wildfire season, Whistler Paintball continuously monitors air quality and fire danger. If conditions become hazardous to health or safety, sessions may be cancelled. Guests will be informed and provided with rescheduling options or refunds if the cancellation is initiated by Whistler Paintball.
Do You Have a Shuttle Service?
We do not offer a shuttle service at this time, but we are actively planning to add this option in the future. In the meantime, parking is available on-site, and we recommend carpooling when possible due to limited space.
2025 Staff Event Discount
For 2025 staff party bookings, we offer a 30% discount on private admission. The regular price for private adult admission is $64.99 before tax, and with the 30% discount, the rate becomes $45.49 before tax per person. This discount only applies to the admission fee and does not include paintballs or additional rentals.
How Payments Work
We operate on a tab system, which means paintballs and other add-ons can be purchased as you go throughout your session. There's no need to buy everything up front — you can gauge your usage as your group plays.
At the end of the session, the group can choose to either pay all together or split the payment among participants however they like. Our point-of-sale system makes it easy to divide the total cost across groups of any size for convenience.
Air System
Compressed Air vs. COâ‚‚:
-
We use compressed air, not COâ‚‚.
-
This is important if guests or conservation officers are asking to fill air tanks or use our system.
Requests from Conservation Officers:
-
Conservation officers may visit to:
-
Fill air tanks (often for paintball markers)
-
Request an O-ring, air tank repairs, or small parts
-
-
These requests are common and we are happy to help.
-
Ask if they have a specific date or time to meet at our site.
-
The AI should gather that info and pass it to a manager, who will follow up directly.
Deposits & Payments for Bookings:
We require a deposit to secure all bookings. We do not take full payment upfront unless the guest chooses to when booking online.
-
Private booking deposit: $200
-
Regular group deposit: $150
-
Online bookings: 30% deposit by default, but guests also have the option to pay the full amount if they prefer
These deposits help cover preparation and staffing costs in the event a group does not show up or cancels too late.
How deposits are taken:
-
A secure payment link will be emailed or texted by our team
-
Or, if booking directly through our website, the deposit (or full amount) is paid during checkout
Cancellation / No-show policy:
-
Deposits may not be refunded if a group cancels or reschedules with less than 48 hours’ notice before their game time
-
This policy is in place to protect our staff scheduling and paint preparation efforts

We chronograph our rental markers regularly to ensure they meet this standard and are safe for play
-
All personal equipment brought by guests will be tested and chronographed immediately upon arrival
-
Equipment that does not meet safety standards will not be allowed on the field until it is adjusted
Opening Hours
Whistler Paintball does not operate with regular walk-in hours. We are open by booking only and only have staff on site when a session has been scheduled.
Sessions usually take place between 10:00 AM and 7:00 PM, 7 days a week, depending on availability and existing bookings.
If a customer asks if we are “open today,” the correct response is not simply yes or no. The AI agent should explain that we are open for scheduled sessions only and help the customer make a booking or check available session times.

Average Number of Paintballs Used per Person
The average person goes through approximately 300-600 paintballs total, including the 100 they start with.
